The importance of recruitment outreach emails

Why do we send recruitment outreach emails in the first place?

My first time sending outreach emails

I had just started my first blog and I was publishing a post a week.

So I thought to myself, “I should send some cold emails out to tell people about my blog.”

I spent the better part of a day going to dozens of websites looking for any relevant email addresses that I could find.

Eventually, I’d found a few hundred.

I hastily wrote up an email that said something like:


Hey,

Do you want to check out the article I just wrote? Here is the link . . .


I eagerly emailed a hundred people a day for a week. This took HOURS and HOURS. I was so excited to see the spike in traffic to the article. This was going to be great!

But it wasn’t great. It was a complete waste of my time. Only 5 people had clicked on the link from the HUNDREDS of emails I had sent.

I’d spent around 40 hours “driving traffic” to my website only to find I had accomplished nothing – zip – zero – nada.

What I learned

I had focused all my effort into sourcing people to reach out to and had totally missed the point.

How you reach out is just as important as who to reach out to.

We have all been there. How can we make sure our cold emails are successful and not a waste of our time? Is there some trick?

Over the next few years, I read dozens of books and took several courses on copywriting. Only in hindsight can I see all the mistakes I was making with this naive approach to cold email.

Most importantly, I’ve practiced constantly. And now I usually get a 50% response rate to my cold emails.

There are 4 mistakes that I constantly see people making that derail them and crush their chances of getting a reply.

On my journey from boosting my 2% reply rate to a 50% reply rate, I’ve encountered each one of these mistakes.

You will face each one of them on your journey and you’ll need to overcome them to maximize your potential. But before you can overcome them you first need to recognize them.

Mistake #1: Not following-up

Sending an email without a follow-up is fast and easy. Once sent, it is out of your mind and gone forever. Task completed.

I’ve fallen into this trap for most of my life. And I’ve gotten the same results – a terrible reply rate.

If you want to get a reply you MUST follow-up.

People are busier than ever. Just because they didn’t reply doesn’t mean they didn’t want to.

If an email is worth sending, then it’s worth following up if you don’t hear back.

Mistake #2: Being a robot

Dear Sir or Madam,

Apologies for the email. I hope that it finds you well. I am writing you to inquire about perhaps using my computer graphics services at your place of business.

Snoooooooooooore.

For years I thought that writing “professionally” meant writing like a robot. You would never talk that way to your friends, so why are you writing like that?

When you send an email that looks like this, you make the reader’s eyes glaze over.

Once they wake up they will click “SPAM”.

Mistake #3: Making it all about me me me

One of the biggest mistakes that I made early on was making my emails all about me. 

I thought I was talking about how I could help the other person, but when you looked at it from their perspective it was all about me.

Here is a secret . . . people LOVE to talk about themselves. So you need to be really careful when you write the emails that you put the focus on THEM, not you.

Mistake #4: Not being clear about what I want them to do

It’s easier than you think to write an entire email that has no purpose. Or has a very weak call to action.

I’ve seen tons of emails that can’t make up their mind. They might ask me to do half a dozen different things: call, email, click some links, book an appointment . . . 

What is it that you want me to do? Which one of these links do you really want me to click? What response are you looking for? In reality what I’m going to do is nothing – because you have confused me and asked for too much.

An email should have ONE clear action for the reader to take. What is that action?

Following up is your key to dramatically increasing your email replies

Everyone is busy. Everyone has more important things to do than respond to your emails. Just because they didn’t respond does not mean they are not interested.

Whenever you don’t hear back, you need to take the initiative to follow-up. This alone has doubled my business.

How to get replies the right way

The number one thing I have learned about sending cold email is CONSISTENTLY FOLLOWING UP IS CRITICAL.

But how critical is it really?

As a test, I wrote a simple “I think you’d find this article really interesting. Let me know what you think” email and sent it to 100 people to promote my blog.

I then sent a follow-up email 1 day later, and a second follow-up 2 days after that.

Here are the results that I got:

Initial Email:          5 Replies
1’st Follow-up:     28 Additional Replies
2’nd Follow-up:   19 Additional Replies

That’s a total reply rate of 52%, most of which were positive. Had I not been consistent and followed up the reply rate would have been a mere 5%. That’s a full 10 times more replies just by following up!
